The Company 
A company specialized in importing and exporting diverse merchandize by road, sea and air.

We are looking for a dynamic Executive Assistant who will assist the Managing Director and the Executive Team in managing the organization’s operations, requiring the ability to anticipate needs, think critically, and offering solutions to problems with a high level of professionalism and confidentiality.

Responsibilities:

Your responsibilities will consist of,

  • Providing administrative assistance, writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Working closely with the Managing Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately
  • Managing and scheduling appointments, maintaining and updating executives' calendar, including making appointments and prioritizing the most sensitive matters
  • Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports
  • Maintaining comprehensive and accurate records
  • Answering phone calls in a polite and professional manner
  • Screening inquiries, visitors, and correspondence, and route accordingly
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Maintain confidentiality of highly sensitive information
  • Manage complex office administrative work requiring the use of independent judgment and initiative
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Providing calendar management for Managing Director. Prioritizing inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements

Requirements
  • Bachelor's Degree / Diploma in Secretaryship, Business Administration, Communication or relevant field
Professional Experience
  • Three years working experience in a similar position

  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Excellent judgment is essential
  • Ability to switch gears at a moment’s notice
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders
  • Expert proficiency with Microsoft Office; ability to design and edit graphic presentations and materials
  • Upper-intermediate level in French
